Are you an experienced accounting and administration professional who enjoys being hands-on, working closely with a small team, and finding better ways to get things done? Our client is seeking an Office Manager / Controller to take ownership of both the day-to-day financial functions and front office operations within their long-standing family business.

Working closely with the existing team and external accounting partners, you will oversee core accounting functions while also helping shape processes, policies, technology, and workflow improvements.

Duties and Responsibilities: 

The key job functions are:

  • Oversee day-to-day accounting functions, including Accounts Payable (AP), Accounts Receivable (AR), invoicing, reconciliations, and financial reporting.
  • Manage full-cycle accounting activities and ensure financial information is accurate, organized, and prepared for external accounting review.
  • Prepare monthly and quarterly financial reporting and support year-end reporting requirements.
  • Oversee payroll administration for both salaried and hourly employees.
  • Review daily timesheets and coordinate information related to field employees, vehicles, and operational activities.
  • Manage the organization’s invoicing process while identifying opportunities to improve efficiency and system functionality.
  • Work closely with external accounting professionals to coordinate financial reporting, submissions, and year-end requirements.
  • Support estimating, quoting, and other financial administration as required.
  • Lead day-to-day front office operations and coordinate administrative priorities across the team.
  • Work with the Office Coordinator to determine priorities, delegate responsibilities, and maintain an efficient workflow.
  • Act as a key point of contact for incoming customer and sales calls and ensure relevant information is communicated to field staff.
  • Identify opportunities to improve policies, procedures, technology, and internal processes.
  • Bring forward practical ideas that support operational efficiency, growth, and improved customer service.
  • Collaborate with internal stakeholders to implement process improvements and support the continued evolution of the business.

Education:

  • Post-secondary education in Accounting, Business Administration, or a related field is an asset.
  • A professional accounting designation is not required.

Qualifications: 

  • Strong understanding of full-cycle accounting and financial administration.
  • Comfortable working in a small business environment where priorities can shift and responsibilities are shared across the team.
  • Confident taking ownership of responsibilities while knowing when to collaborate or delegate.
  • A practical, improvement-focused approach to processes, systems, and day-to-day operations.
  • Ability to work effectively with external accounting professionals and internal stakeholders.

Experience:

  • Minimum 5 years of progressive accounting experience, ideally within a small or mid-sized business environment.
  • Experience managing Accounts Payable (AP), Accounts Receivable (AR), invoicing, reconciliations, payroll, and financial reporting.
  • Experience supporting or overseeing office administration and coordinating the work of others.
  • Experience identifying opportunities to improve accounting systems, processes, or administrative workflows is an asset.

  • Accounting Expertise: Strong hands-on knowledge of full-cycle accounting and the ability to manage day-to-day financial responsibilities independently.
  • Organization: Highly organized with the ability to balance financial deadlines, administrative needs, and operational priorities.
  • Communication: Friendly, approachable, and confident communicating with customers, field staff, colleagues, and external professionals.
  • Leadership: Comfortable taking the lead, delegating responsibilities, and working collaboratively with a small team.
  • Problem-Solving: Practical and resourceful, with an interest in finding more efficient ways to approach existing processes.
  • Adaptability: Comfortable working in a varied role where no two days look exactly the same.
  • Initiative: Willing to ask questions, listen to others, and bring forward fresh ideas that can improve the way the business operates.

Base Salary: $80,000 – 100,000 per year

  • Salary is based on experience and qualifications.
  • Benefits package available.

Work Hours:

  • 40 hours per week.
  • Monday – Friday.
  • 8:00AM – 4:00PM.

  • This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
